This Shipping and Delivery Policy outlines the terms, conditions, and procedures for the delivery of documents, materials, and physical items related to services provided by Ekayan Consultancy Private Limited. This policy applies to all shipments made by or on behalf of Ekayan Consultancy to clients in connection with passport application services, travel document consultancy, and related services.

By engaging our services and requesting delivery of documents or materials, you acknowledge that you have read, understood, and agree to be bound by this Shipping Policy.

2. Scope of Shipping Services

2.1 What We Ship

Ekayan Consultancy may arrange for the shipping and delivery of the following items:

  • Completed application documents (passport application forms, supporting documents)
  • Government-issued documents (passports, acknowledgment receipts, status updates)
  • Original documents submitted by clients (returned after processing)
  • Photocopies and certified copies of documents
  • Appointment confirmation letters and related correspondence
  • Informational materials and guidance documents
  • Any other physical materials related to our services

2.2 What We Do NOT Ship

  • Items unrelated to our consultancy services
  • Prohibited or restricted items under Indian law
  • High-value goods not related to passport/travel documents
  • Perishable items
  • Hazardous materials
  • Items requiring special licenses or permits

3. Shipping Methods and Timelines

3.1 Shipping Methods

We use reputable third-party courier services and postal services for deliveries, including but not limited to:

  • India Post / Speed Post
  • Blue Dart
  • DTDC
  • Delhivery
  • Professional Couriers
  • Other authorized courier partners

The choice of courier service is at our sole discretion based on destination location, urgency of delivery, document sensitivity, cost-effectiveness, and courier availability.

3.2 Estimated Delivery Timelines

3.3 Shipping Charges

Shipping charges depend on weight and dimensions, destination location, delivery speed, insurance coverage, and special handling requirements.

Shipping Fee Structure:

  • Within Bhavnagar: ₹50 – ₹100
  • Within Gujarat: ₹75 – ₹150
  • Pan-India Standard: ₹100 – ₹250
  • Express/Urgent: ₹200 – ₹500
  • Remote Areas: Additional ₹50 – ₹200

Shipping charges are communicated to you before shipping and are non-refundable once the shipment is dispatched.

4. Shipping Address and Accuracy

4.1 Your Responsibility

You are responsible for providing:

  • Complete and accurate delivery address
  • Correct recipient name
  • Valid contact phone number
  • Alternative contact number (recommended)
  • Landmark or specific location details
  • Any special delivery instructions

4.2 Address Must Include

  • Full name of recipient
  • Complete street address with house/building number
  • Locality or area name
  • City, State, and PIN code
  • Contact phone number

5. Tracking and Notifications

Once your shipment is dispatched, we will provide:

  • Courier tracking number (AWB/Docket number)
  • Courier company name
  • Estimated delivery date
  • Tracking link (when available)

You will receive tracking information via email notification, WhatsApp message, and SMS notification.

6. Delivery Process and Requirements

6.1 Recipient Requirements

At the time of delivery, the recipient must:

  • Be available at the delivery address
  • Provide valid identification (Aadhaar, PAN, Driver’s License, Passport, etc.)
  • Sign delivery acknowledgment or proof of delivery (POD)
  • Inspect the package for visible damage
  • Accept or refuse delivery

7. Inspection and Acceptance

⚠️ CRITICAL: You MUST inspect the package at the time of delivery. Check for visible external damage to packaging, tampering or opening of package, water damage or stains, crushed or torn packaging, and missing or damaged seals.

7.1 Report Damage Immediately

If package appears damaged:

  • DO NOT accept delivery if damage is severe
  • Take photographs of the damaged package
  • Note the damage on the courier’s delivery receipt
  • Contact us immediately via Email/WhatsApp with photos
  • File a complaint with the courier within 24 hours

Important: Once you sign the delivery receipt without noting damage, it is presumed the package was received in good condition.

8. Lost, Damaged, or Delayed Shipments

8.1 Lost Shipments

A shipment is considered lost if tracking shows no movement for 15 days, courier confirms loss, or shipment does not reach destination within 30 days.

8.2 Delayed Shipments

🚨 IMPORTANT: Delivery timelines are estimates, not guarantees. We are NOT liable for delays caused by factors beyond our control, including courier operational issues, weather conditions, natural disasters, political unrest, strikes, road closures, government restrictions, incorrect address, or remote locations.

9. Limitation of Liability

9.1 Third-Party Courier Services

🚨 CRITICAL: Ekayan Consultancy uses third-party courier and postal services for all shipments. We are NOT the carrier and do NOT directly control the shipping process. Our liability is LIMITED to the extent of the courier partner’s liability.

9.2 Maximum Liability Cap

Our maximum liability for any shipping-related issue (loss, damage, delay) is LIMITED to:

  • The actual shipping charges paid by you, OR
  • The compensation provided by the courier partner
  • WHICHEVER IS LOWER

We are NOT liable for:

  • Value of documents or items shipped (unless separately insured)
  • Consequential damages or indirect losses
  • Lost business opportunities due to delayed delivery
  • Mental agony or inconvenience
  • Costs incurred by you due to non-delivery or delayed delivery
  • Third-party claims arising from shipping issues

9.3 Optional Insurance

Optional shipping insurance is available:

  • You may opt for insurance at the time of booking shipment
  • Insurance charges are additional (typically 1-2% of declared value)
  • Insurance covers loss or damage during transit
  • Claims are subject to courier partner’s insurance terms
  • Maximum insured value: ₹50,000 per shipment
  • Insurance does NOT cover delays, only loss or physical damage

10. Returns and Undelivered Shipments

If a shipment cannot be delivered and is returned to us, you are responsible for:

  • Original shipping charges (non-refundable)
  • Return shipping charges (charged by courier)
  • Re-delivery charges (if re-shipment is requested)

11. Force Majeure

We are not liable for failure or delay in shipping due to events beyond our reasonable control, including:

  • Natural disasters (earthquakes, floods, cyclones)
  • Pandemics or public health emergencies
  • Political events (war, terrorism, civil unrest)
  • Government actions (lockdowns, curfews, transport restrictions)
  • Labor disputes (strikes, bandhs)
  • Infrastructure failures (road closures, courier partner issues)
  • Postal service disruptions

12. Client Responsibilities

You are responsible for:

  • Providing accurate and complete delivery address
  • Ensuring availability at delivery address
  • Providing valid contact information
  • Responding to courier calls or messages promptly
  • Inspecting packages upon delivery
  • Reporting damage or discrepancies within 24-48 hours
  • Paying applicable shipping charges
  • Complying with this Shipping Policy

13. Prohibited Items

We will NOT ship the following items under any circumstances:

  • Illegal items (drugs, weapons, explosives, counterfeit goods)
  • Prohibited goods (items banned under Indian law)
  • Hazardous materials (chemicals, flammable items, toxic substances)
  • Perishable items (food, plants, biological samples)
  • High-value items (jewelry, precious metals, large sums of cash)
  • Restricted items (alcohol, tobacco, lottery tickets)
  • Live animals or plants
  • Items requiring special permits without proper authorization

14. Refunds and Cancellations

Shipping charges are generally NON-REFUNDABLE once the shipment is dispatched.

Refunds may be provided ONLY if:

  • Shipment was not dispatched (cancellation before dispatch)
  • We failed to dispatch despite receiving charges
  • Double payment was made by error

Shipping charges are NOT refundable for:

  • Delivery delays
  • Lost or damaged shipments (covered under liability limits)
  • Failed delivery due to incorrect address
  • Recipient unavailability
  • Refused delivery by recipient

Disputes are subject to the jurisdiction of courts in Bhavnagar, Gujarat, India.

  • You accept the risk of third-party courier services
  • You agree to the dispute resolution procedures

If you do not agree with this Shipping Policy, please do not request shipping services. You may opt to collect documents in person from our office.
